Illustrative case

Clara: the afternoon call that keeps the CRM current

A voice agent calls the person who deals with customers every afternoon, talks for five minutes, and leaves the day's activity recorded in the CRM. Nobody fills in a form.

We designed this in a real proposal that wasn't signed. We publish it as an example of how we approach a voice case: the figures are design targets, not measured results.

The context

In teams that deal with people face to face — a residence, a branch, a clinic — much of what happens during the day never reaches the CRM. Not out of negligence: whoever is attending is with the person, not at a computer.

Without that record, the pipeline shows a partial version of reality and opportunities go cold without anyone noticing.

The real problem

Asking the team to log more never lasts. The alternative is to flip the burden: have someone ask and record for them.

The obvious risk is an AI writing into the CRM what it thinks it heard. That risk gets designed away, not promised away.

How we approached it

  1. A stage zero with no voice technology

In the first week our own team makes the calls following the same script and delivers the structured data exactly as the agent would. It validates the questions before anything gets built.

  2. Our orchestrator runs the conversation

Before each call, the orchestrator sends the context: who is on the line, which prospects are pending and what to ask today. The voice platform talks and transcribes; it doesn't have to guess.

  3. The AI never writes to the CRM

The conversation becomes typed data against an agreed schema. The orchestrator validates and only then syncs with the CRM. Anything that doesn't fit goes to human review.

  4. Summaries someone will actually read

The next morning, a summary per site; on Mondays, a management summary — assembled from the structured data, not from freely generated text.

Design targets

  • One daily call of 5 to 8 minutes per site, at an agreed time.
  • The day's activity in the CRM within 24 hours, with no forms.
  • Every pending commitment turned into a dated task.
  • A daily summary per site and a weekly one for management.
